If your WhatsApp channel sounds like a legal disclaimer, it’s time for a rewrite.
Tone isn't fluff—it’s the difference between a message that gets ignored and one that gets tapped, replied to, and acted on.
At OFF THE GRID, we work with brands to help them find their WhatsApp voice: clear, consistent, and conversational. One that builds trust and drives conversions.
Here’s how we think about tone—and how to get it right.
Unlike email or web copy, WhatsApp messages land directly in someone’s most personal space: their phone. The same app they use to chat with friends, partners, parents.
That means:
📈 Messages that sound human consistently outperform polished corporate ones.
📉 Messages that feel cold, generic or templated? Ignored. Or worse—blocked.
Here’s how we define it:
One of the biggest mistakes we see?
Copying website tone straight into WhatsApp.
Website voice is often:
WhatsApp needs to be:
Example:
🖥 Website:
“Our team is currently reviewing your submission and will be in touch shortly.”
📲 WhatsApp:
“Got your form 🙌 we’ll be in touch soon.”
Your automation still needs to sound like you. Every reply, menu, and prompt should carry your voice.
Too robotic:
“Please select an option to proceed.”
Better:
“What are you here for today? 👇 Pick one.”
Even promos should feel personal.
Too formal:
“Our mid-season sale has commenced. View items here.”
Better:
“Sale’s live 🎯 Tap here before everyone else does.”
This is where tone meets visual. A strong voice makes the caption land.
Generic:
“Check out our latest collection.”
On-brand:
“Just dropped. You’re not ready for this 👇”
Templates are fine—as long as they don’t sound templated.
Too stiff:
“We regret the delay. Your package is being investigated.”
Better:
“Still chasing this for you—promise we haven’t forgotten. Will update ASAP.”
When we onboard a client, we create a WhatsApp tone map just for them. It covers:
It means every part of the message journey—bot, Status, reply, campaign—sounds like the same brand.
We also A/B test tone styles on real users. And yes, tone alone can boost CTR by 20–30%.
A lot of brands worry that sounding relaxed = sounding careless.
But it’s the opposite.
A confident, clear, casual tone shows you understand:
Professionalism isn’t about stiff sentences. It’s about respect, clarity, and consistency.
Try rewriting this:
Original (bad):
“Please be advised your delivery has been delayed due to unforeseen circumstances.”
Better:
“Heads up: your delivery’s running a bit late. We’re on it and will update you soon.”
Or:
Original (bad):
“Dear customer, you are eligible for our newest promotion.”
Better:
“Hey! You’ve unlocked something special 👀 Tap to see what’s inside.”
See the difference?
Same info. Different feel. Different results.
